Job Description: We’re looking for an amazing administrative professional to fill this role, which is based in our Seattle office. You’ll be responsible for providing timely administrative technical support to the Vice President of Global Contact Center Operations and team. Compiles and disseminates information to team and manages the department operations support activities. Job Responsibilities: Attends VP and Director meetings with responsibility for taking meeting notes, disseminating to appropriate audience and tracking for completion of assigned tasks. Communicates with HR, Workforce Talent Acquisition teams and Management on new hires/contractors or team changes, software/hardware set up. Develops organizational charts, workflow processes, and programs, including but not limited to, PowerPoint presentations to present to Executive Vice Presidents and Brand Presidents. Provides support and assistance in the development, implementation, and management of policies, processes, and programs in the areas under the purview of the Vice Presidents. Maintains VP’s department calendars, schedules meeting both internal and external Keeps VP and Director team abreast of projects’ status and informs them of any delays or major issues. Develops and works cooperatively with the administration & compliance manager in the development and management of related G&A budgets (manpower #’s, contract labor, & travel expenses). Maintains strong communications and good cooperative working relationships with executive and administrative officers of the HA Group Brands, staff, and other clients to ensure that established goals are met and to avoid schedule conflicts. Maintains positive relationships with HR, Finance and business in the implementation of planning initiatives and strategic planning. Communicates with HR, Workforce Talent Acquisition teams and Management on new hires/contractors or team changes, software/hardware set up. Coordinates department programs including, but not limited to, recognition programs and divisional staff development programs. Provides support and assistance to the VP in managing requests and projects related to the division. This includes providing updates and reminders to the VP and team on pending deadlines and key calendar dates. Prepares agenda and drafts correspondence on behalf of the Vice Presidents. Correspondence will be written in a professional manner, free from error, and consistent in style with other executive and company communication. Job Requirements: Ability to maintain strict confidentiality Understands the power of teamwork Advanced proficiency with Microsoft Suite Managing interdepartmental business functions Interacting with internal and external executives Work on complex projects with general direction and minimal guidance with a high degree of quality Knowledge in Microsoft Office Suite (Word, Excel, PowerPoint, Visio and Outlook) 2 – 5 years’ experience in supporting an executive in corporate environment interacting with internal and external executives. Strong written and verbal communication skills 1 – 2 years’ experience in supporting an executive in corporate environment interacting with internal and external executives.
