Job Description:

The In-N-Out Burger Community Engagement Team has an excellent opportunity for an Administrative Assistant II in office. This position will report to the Community Engagement Department Manager and will be responsible for supporting the administrative needs of the department including direct support of the department manager. This person will be a team member of the Community Engagement Department, which includes the In-N-Out Burger Foundation, Slave 2 Nothing Foundation, Community Outreach, Corporate Donations and Charitable Events teams.

Job Responsibilities:

  • Process and reconcile monthly expense reports for department managers
  • Oversee the use of department vehicles
  • Communicate across multiple departments on various projects at the same time
  • Develop strong working relationships throughout the company, and with outside organizations and vendors, as an extension of the Community Engagement Department manager and department
  • Professionally represent In-N-Out Burger in the non-profit community, Foundation, and broader communities as needed
  • Keep department and company information confidential
  • Be part of a team-oriented department and assist in other areas as needed
  • Help manage department calendars, plan meetings, and execute the day-to-day administration of the CE department
  • Assist the CE Manager with special projects and project activities, including simple tasks and larger project plans
  • Help with project management, such as create and update workflows, prepare and provide documentation to internal teams, and track information
  • Prepare meeting materials, including PowerPoint presentations and booklets for C-level and Executive meetings
  • Produce reports, presentations and briefs
  • Coordinate department special events, such as parties and lunches
  • Work closely with accounting department on department invoicing; track expenses

Job Requirements:

  • Ability to work autonomously/independently under general supervision yet be an integral part of an overall team-oriented environment
  • Continuous learner, exercises good judgment, creative and willing to recommend new approaches to administration
  • Working knowledge of office equipment, like printers, scanners and copy machines; Up-to-date with advancements in office programs and applications
  • Knowledge of office management systems and procedures
  • Proficient with Microsoft Office products (Word, Excel, PowerPoint)
  • Excellent time management skills, organized and the ability to prioritize work
  • Candidate should be energetic, self-motivated and flexible
  • Must possess strong written, interpersonal and customer service skills
  • Passion in providing administrative and clerical support to the department
  • Work experience as a Project Manager, Project Administrator, or Project Coordinator
  • Strong ability to manage multiple projects within designated timelines
  • Interest in and commitment to the causes of the In-N-Out Burger Foundation and Slave 2 Nothing Foundation is a plus
  • Knowledge of project management software (e.g. Asana), as well as knowledge of communication tools and messaging platforms (e.g. Slack, Zoom)
  • Ability to communicate and interact professionally with all levels of management
  • Act as a trusted partner to management, displaying the highest levels of integrity
