Job Description: The Strategic/Executive Project Specialist will report directly to the Vice President of Design. The incumbent will provide support to the Vice President on all general studio project and operations topics. This includes but is not limited to day-to-day corporate corrspondence (domestic and International), invoicing, project management, personnel support and facility operations. Identifies and drives action on business opportunities/challenges Job Responsibilities: Supports all facility operation topics by working with managers to coordinate exterior landscaping, routine county inspections, tracks and schedules general facility equipment repair and procurement. Tracks and maintains renewal of service contracts with external vendors. Maintains a quarterly and annual reports including but not limited to investment reports and works in coordination with controlling to follow established budget planning. Develops and maintains project planning schedules. Coordinates with German counterparts (PMs) and communicates to the team on a regular basis. Assists the Vice President to ensure that all expenditure approvals are made in a timely manner. Acts as site Quality Management representative; ISO;9001- 2015. Ensures that all ISO processes/procedures are maintained/valid and leads ISO Corporate Audits. Tracks equipment calibration records, foreign stakeholder satisfaction reports, and all ISO related documentation. Provides general, administrative and executive support to the Vice President including but not limited to: scheduling appointments and meetings, coordinating site visits, corporate event planning, procurement of canteen supplies and catering services as needed. Acts as Facility Receptionist and is responsible for answering telephone calls, collecting, responding to and organizing mail and tracks accounts payable invoices. Manages, tracks and orders general office and art supplies as needed. Job Requirements: Have experience influencing and earning the trust of senior stakeholders and moving business teams to take action Proficient in Microsoft Office and Internet tools (PowerPoint, Excel, Adobe) Have significant creativity and excellent business judgment Have a strong sense of urgency and commitment Be a self-starter and an independent thinker Will accept equivalent work experience in lieu of formal education Combination of Degree and Years of experience acceptable (minimum) : Bachelors + 2 yrs / Masters + 0 yrs Minimum level of education required and required field of study: Bachelor’s Degree in Design, Engineering, or Business 5+ years of relevant experience Ability to work autonomously. Have a general knowledge of the ‘Creative’ automotive design process. Excellent organizational and communication skills. Have a general knowledge of Quality Management principles; ISO;9001; 2015 Possess flexibility and have a track record of delivering results in a fast-paced and highly ambiguous work environment Ability to understand and manage confidential topics.
